Terms and Conditions
Thank you for choosing Orinoco Expeditions, your most trusted partner in memorable safari adventures. To book, pay, cancel, or handle any other business projects with Orinoco Expeditions, you agree to the following Terms and Conditions.
Please read and understand them carefully before confirming any safari bookings with us.
1. The Booking Terms and Conditions
The booking process can be done online, on the phone, or in our offices.
All information about inquiries provided by Orinoco Expeditions is true and up to date to the best of our knowledge. We are not responsible for any information that is changed by third parties or obvious typing errors.
All bookings are confirmed when you receive a confirmation email from us.
Upon confirming any booking with Orinoco Expeditions, the company is responsible for airport pick-ups, transfer to the tour destinations, and transfers back to the airport. Orinoco Expeditions is also responsible for accommodation bookings, meals, and other services given by other service providers.
Orinoco Expeditions will enter agreements with third parties for a seamless experience. For example, when booking park entrances, when booking for accommodation, gorilla permits, and chimpanzee trekking permits. We shall be subjected to their terms and conditions.
In case of unavoidable or unseen circumstances, itineraries are subject to changes or re-adjustments for example accommodation, transportation, and other services.
Clients are required to provide information about personal preferences or conditions for example allergies, diet, medical requirements, or any disabilities.
Travelers will also be required to provide their names like they are on the passport, their nationality, and passport number for purposes of booking gorilla permits and reserving flights.
Changes to Bookings
Clients must request changes to bookings in writing.
The changes to these bookings will be subject to availability and may include additional costs.
Orinoco Expeditions reserves the right to make changes to bookings in case of unavoidable circumstances. We shall send you an immediate notification for such arrangements or the necessary refunds to be made.
2. The Payment Terms and Conditions
You are required to deposit 30% to secure your reservation and the remaining balance at least 30 days before the first day of your safari tour.
If 100% payment is not made by the due date, Orinoco Expeditions reserves the right to cancel the trip and retain the deposit, unless there is mutual understanding.
Orinoco Expeditions will not begin any tours that are not fully paid for.
All payments are to be made through the company accounts that will be provided by your tour planner.
The extra charges incurred by paying with a VISA credit card are fully paid by a client.
The itinerary quotations will include airport transfers and on-ground transportation, an English-speaking driver guide, park entrance fees, ranger fees, indicated safari activities, indicated meals, and accommodation – unless agreements are made differently between the client and the company.
In case of any fluctuations, Orinoco Expeditions reserves the right to make increments on services, although we shall endeavor to make it minimal.
The Cancellations and Refund Policy
Cancellation requests/notices must be made through email in writing.
We regret that we do not refund costs made to third parties like accommodation facilities, gorilla permits, chimpanzee permits, flights, and other logistics. We also do not refund payments made to government institutions and other third parties because their refund terms and conditions are beyond our control. Thus, we are not liable for any omissions and defaults by these third parties.
The following percentages of the remaining balance after the above subtractions will be refunded depending on the date the cancellation request is received toward your safari.
- 30 days and less before the start of your tour: 0% refund and 100% charge.
- 31 to 60 days before departure: 20% refund and 80% will be charged.
- 61 days to 90 days before departure: 40% refund and 60% charge.
- Above 90 days: 70% refund and 30% charge.
Note: No refund shall be given for no-shows, unused services, late arrivals, or if you leave the tour early.
Orinoco Expeditions reserves the right to cancel any tour in case of unavoidable or unseen circumstances like a pandemic, insufficient facilities to book for the tour, or hostile weather conditions. The Company (Orinoco Expeditions) will in such cases make a full refund or slate alternative dates for your tour. Orinoco Expeditions shall not be liable for any additional costs due to this cancellation.
Travel Insurance
We strongly recommend that you get travel insurance to cover medical expenses, injuries, trip cancellations, and lost baggage expenses.
Orinoco Expeditions does not stand responsible for any incurred losses or insurance claims.
Health and Safety Policies
Clients carry the responsibility to ensure that they are fit for travel thus they should have the necessary health documents that cover vaccinations or personal medical conditions.
Ensure to report any special medical conditions for proper planning.
Orinoco Expeditions shall take reasonable precautions to make sure that clients are safe. However, we are not liable for any personal injuries or illnesses during your tour.
6. Customer Responsibilities
Customers should follow all local laws and regulations during their travel.
Damages or losses caused by your actions will lead to additional charges.
Ensure to be respectful/listening to the guides, and locals while they also show you the same qualities. Orinoco Expeditions reserves the right to remove any participant who will behave inappropriately and disrupt the tour.
7. Confidentiality and Data
Orinoco Expeditions shall ensure the protection of any client’s personal data.
Client data will only be used according to the privacy policy.
8. Complaints
Orinoco Expeditions shall ensure to bring you the best experiences for clients and we encourage our clients to make any suggestions that will improve the quality of our services.
In case you have any complaints, report them immediately and we shall do our best to handle them. In case the problem is not solved to the client’s satisfaction, a written complaint should be given no later than 30 days after your tour.
Orinoco Expeditions is not liable for any complaints that are not made according to the above procedures.
9. Changes to Terms
Orinoco Expeditions reserves the right to make changes to these terms and conditions.
Amendments made will be posted on the website and they will only apply to bookings made after the amendment date.
10. Our terms and conditions are governed by the laws of Uganda.
Any disputes or misunderstandings from the above terms and conditions that can not be solved by the parties involved will be resolved by the courts of Uganda.
